Outbound Message Rules and Templates

Learn how Leverage Admins configure outbound message rules, matching conditions, recipients, cadence, and message content.

This guide explains how Leverage administrators access and manage automated outbound message rules. It covers message types, rule priority, matching conditions, recipients, sendable days, cadence, and message content.

Before you begin

  • Only Admin users can access and manage outbound message rules.

  • Changes to outbound messages may affect in-flight order communication. Review and validate critical communications after editing these settings.

Access message rules

  1. Log in at app.lvrg.ai.

  2. Select Messages from the main navigation.

Message types

Leverage groups message rules into four types:

  • Acknowledgement: Requests that a supplier acknowledge an order awaiting confirmation.

  • Status Update: Requests a status update for an unshipped, acknowledged order.

  • Shipment Information: Requests shipping information for an order.

  • Custom: Contains customer-specific message templates.

Configure message rules

Select a message type in the table to view its associated rules.

Set rule priority

Rules are evaluated in ascending priority order: priority 1 is evaluated first. When an order line matches a rule, Leverage does not evaluate later rules for that line.

To reorder rules, drag a rule using the handle beside its priority number or select a different number from the priority dropdown. Two rules cannot share the same priority. Review the complete order carefully so the intended rule is evaluated first.

Manage a rule

Select a rule to open its flyout. The flyout contains three configuration areas:

  • Message Templates: Defines sending cadence and message-level overrides.

  • Base Message Template: Provides the default sendable days, recipients, and notification content for the rule.

  • Matching Conditions: Defines the conditions that trigger the rule for an order line.

Configure matching conditions

Every condition defined for a rule must evaluate to true before the rule triggers. Select Add Condition to add another condition.

  • PO Line Attribute: Selects the purchase-order line field to evaluate. Confirm that the field is populated by your integration before using it in rule logic.

  • Operation: Determines how the selected field is compared with the configured value. Review rule priority to confirm that an earlier rule will not match first.

  • Value: Defines the comparison value. Operations such as Is one of can accept multiple values; enter each value separately.

Click Save Conditions after making changes.

Configure the base message template

The base message template provides the default sendable days, recipients, and notification content. Individual message templates can override these defaults.

  • Sendable Day: Selects the days when Leverage may send the notification. Blue days are enabled; gray days are disabled. Saturday and Sunday are disabled by default.

  • Recipients: Defines notification recipients. Role-based recipients, such as PO Processor, dynamically use the email address assigned to that role.

  • Message Content: Defines the subject and body. Type {{ to insert dynamic text. Drag items from Message Components into the body, use the pencil icon to edit a component, or use the trash icon to remove it.

Click Save Base Template after making changes.

Use variables and dynamic text

While editing a base or individual message template, type {{ to open the available variables. Select a variable to insert dynamic text into the subject or body.

Configure message templates

Message templates define notification cadence and can override content, recipients, and sendable days inherited from the base message template.

Select a template to expand its settings.

  • ID: The unique identifier for the template. It can help when troubleshooting unexpected sends.

  • Send: Defines when the message is sent. The default anchor is Latest Status Change, but other options may be available. This is evaluated at the order-line level.

  • Sendable Days: Overrides the base template’s sendable days.

  • Send At Time: Sets the time of day when the notification is sent, in UTC. If blank, the notification is sent when the order line matches the rule.

  • Recipients: Overrides recipients for this point in the cadence.

  • Content: Overrides the subject or body for this cadence. This area is not a preview of the base message template.

  • Enabled: Determines whether the template is active.

  • Transactional Requests: Uses this template as the default for manually triggered requests from the actions menu.

  • Suppress Send: When enabled, the notification is sent only if another notification was previously sent for this rule. This option is not commonly used.

Click Save Message Template after making changes.

Activate or deactivate a rule

New rules are inactive by default. To change a rule’s status, select the three-dot menu beside the rule name and choose the active or inactive option. The same menu also includes options to duplicate or delete the rule.

When this setting is enabled, a PO revision restarts the acknowledgement reminder sequence so suppliers respond to the latest version.

After you make changes

Confirm that the rule is active, its priority is correct, and all required sections are saved. Validate critical outbound communications to make sure the updated rule behaves as expected.
