How to Provide Shipment Information (ASN and Shipment Tracking)

Shipment Information Requests

You will receive system-generated requests for shipment information on a preset cadence, based on the expected ship date for the given purchase order. The Shipment Information request will look as all others have and will also take you to the external supplier portal.


Shipment Tracking

The quickest way to provide shipment information is with a shipment tracking number. A shipment tracking number is typically provided by a freight forwarder/carrier to track the status of a package.

Here, you’ll be asked to enter the Tracking Number, Carrier Name, Estimated Ship Date and Expected Receive by Date

You will also need to add the packages being shipped and associate the corresponding purchase order line items and quantities to each package.


Advanced Shipment Notices

Most international shipping uses Advanced Shipment Notices for the supplier to notify the buyers of a shipment of their purchase order.

Some fields are unique to Advanced Shipment Notices and are described here:

  1. Shipment ID: A unique identifier assigned to a particular shipment, aiding in tracking and referencing.

  2. Method of Transportation: The mode of transport used to deliver the shipment. A few examples are: Air, Truck (FTL, LTL), Parcel, Rail, etc.

  3. Shipped Date: The date on which the goods were dispatched from the supplier's facility.

  4. Ship To Location: The designated destination where the shipment is to be delivered.

  5. Expected Delivery Date: The anticipated date on which the shipment will arrive at the destination.

  6. BOL Number (Bill of Lading Number): A unique number assigned to the Bill of Lading document, crucial for tracking and verifying the shipment.

  7. Pro Tracking Number: A tracking number provided by the carrier, allowing the recipient to monitor the shipment's progress.

  8. Packages: The total number of packages or boxes included in the shipment, often accompanied by detailed descriptions of the contents within each package.

    1. Packages will have to be associated with a corresponding PO #


Submitting Shipment Information via the portal

Leverage will request shipment information from you 72 hours in advance of the expected ship date. If you have shipment info already, you don’t need to wait for Leverage’s request.

1. Search the purchase order in the Leverage Supplier Portal

2. Click the PO line(s) you for which to submit shipment information

3. Click the vertical ellipses on the right side and select Provide Shipment Info

*If available, you can also use the Provide Shipment Info hyperlink under the PO line ID

4.Provide shipment tracking and packaging information, and associate the purchase order lines you are sending to the shipment
