Importing Suppliers into Leverage

Learn how to bulk import suppliers using CSV files to quickly add multiple suppliers to your Leverage environment.

Overview

The Import Data tool allows you to efficiently add multiple suppliers to your Leverage account at once using a CSV file. This method gives you complete control over supplier information and is the recommended approach for adding new suppliers to the system.


Before You Begin

  • Ensure you have admin access to your Leverage account

  • Prepare your supplier information in a spreadsheet format

  • Have unique Supplier IDs ready for each supplier (these cannot be duplicated)


Step-by-Step Import Process

Step 1: Access the Import Data Tool

  1. Log into your Leverage account

  2. Click on your username in the bottom left corner of the screen

  3. Select Import Data from the menu options

Step 2: Configure Import Settings

  1. Under File Type, select "Supplier" from the dropdown menu

  2. Verify that the Target Integration displays your correct integration

  3. If the integration is incorrect, select the proper one from the dropdown

Step 3: Download the CSV Template

  1. In the Instructions section, locate the CSV template link

  2. Click "Download CSV Template" to get the properly formatted file

  3. Save the template to your computer

Step 4: Prepare Your Supplier Data

Open the CSV template in your preferred spreadsheet application (Excel, Google Sheets, etc.) and fill in the following fields:

Required Fields:

  • id (Required): A unique identifier for each supplier

    • Cannot contain spaces or special characters

    • Must be unique - no duplicates allowed

    • Examples: SUP001, VENDOR_123, ACME_CORP

    • ⚠️ Important: This ID will be used to link supplier contacts later

  • name (Required): The supplier company name

    • Enter the full company name as you want it to appear in Leverage

    • Examples: "Acme Corporation", "Global Supplies Inc."

Optional Fields:

  • tags: Labels to categorize your suppliers

    • Use comma-separated values for multiple tags

    • Examples: "preferred,domestic" or "tier1,electronics"

    • Helps with filtering and organizing suppliers

Step 5: Review Your Data

Before uploading, ensure:

  • ✅ Each supplier has a unique ID

  • ✅ All supplier names are correctly spelled

  • ✅ The file is saved in CSV format (.csv extension)

Step 6: Upload Your CSV File

  1. Return to the Import Data page in Leverage

  2. Under CSV File Selection, click "Choose File"

  3. Navigate to and select your completed CSV file

  4. The filename will appear next to the button when selected

Step 7: Import Your Suppliers

  1. Review all settings one final time

  2. Click the IMPORT DATA button

  3. Wait for the import process to complete

  4. You'll see a confirmation message indicating success

Step 8: Verify the Import

  1. Navigate to the Suppliers tab in the left menu

  2. Search for your newly imported suppliers

  3. Verify that all information appears correctly

After Importing Suppliers

Once your suppliers are imported, you'll need to add contacts to activate them for receiving purchase orders:

  1. Each supplier needs at least one contact with the "PO Processor" role

  2. Use the Supplier Contact Import process or add contacts manually

  3. New purchase orders will automatically be sent to suppliers with active contacts


Troubleshooting Common Issues

Import Errors

"Duplicate ID found"

  • Solution: Review your CSV file for duplicate values in the ID column

  • Each supplier must have a unique identifier

"Invalid file format"

  • Solution: Ensure your file is saved as .csv (not .xlsx or .xls)

  • Use "Save As" and select CSV format

"Required field missing"

  • Solution: Verify that both 'id' and 'name' columns have values for all rows

  • Remove any blank rows from your file

Suppliers Not Appearing

  • Allow 1-2 minutes for large imports to process

  • Refresh your browser and check the Suppliers tab again

  • Use the search function with the exact supplier name or ID


Best Practices

  1. Plan Your IDs: Create a consistent ID naming convention before importing. Most commonly will be the supplier ID from your ERP/SOR.

  2. Test First: Import a small batch (2-3 suppliers) to verify the process

  3. Keep Records: Save a copy of your import file for reference

  4. Use Tags: Implement a tagging strategy for easier supplier management

  5. Match IDs: Keep track of Supplier IDs as you'll need them when importing contacts
